Terms and Conditions

COVID-19 Precautions

Temperature Check. The patient client must agree to a temperature check conducted on the patient client and on myself the therapist on at the door of the therapy room on arrival and also a brief review of COVID-19 symptoms.

Lateral Flow Test.

I will take a Lateral Flow Test before you arrive to show you I am negative.

Personal Protective Equipment. As required by law, I the therapist will wear a facemask and during face and head massages I will also wear a visor. I will also wear an apron, which can be disinfected. I also have latex gloves and vinyl gloves.

Anti-viral and anti-bacterial essential oils can be added to the massage oil on request.

Towels. The patient clients will bring their own towels to keep warm during the massage in order to reduce risk of COVID-19 transmission as I am reducing how much laundry I have to take home.

The Massage Table will be disinfected before your appointment and clean mattress protector placed.

 

Contraindications Body Massage Treatment Questionnaire and COVID-19 Declaration.

Part of the initial consultation is to complete a contraindications Body Massage Treatment Questionnaire and COVID-19 Declaration to assess if a patient client has any contraindications that inhibit any massage therapy and a GP’s permission be given to proceed. I am not allowed to massage any client without this being completed first. Completing this prior to the appoint will save time during the appointment and leave more time for massage.

Payment

All fees must be completed before any therapy consultation begins. Cash can be received during a walk in appointment, but all advance bookings via telephone or online appointments will be required to paid in advance.

Sexual advances.

“I am a professional massage therapist – please do not enquire about anything sexual.”

The massage is a professional treatment and in no way are any sexual services offered. In the event that sexual advances or overtones are made I will end the treatment immediately and the full fee will be payable.

Rude, Abusive and Aggressive Behaviour

I will not tolerate such behaviour or any prejudices. I am here to help patients relieve pain and discomfort. I am kind, polite and respectful and expect to be treated in the same way.  I will end treatment immediately if I am abused in any way and any refund will be at my discretion.

Insurance

I have full Public Liability and Professional Indemnity Insurance.

Cancellation and Refunds Policies.
Should you need to cancel or reschedule a massage appointment please telephone 07541 989500 at least 48 hours in advance so the booking can go to another client. I will try to accommodate you if there are not subsequent appointments scheduled. I reserve the right that refunds may not be given on pre-paid appointment payments, pre-purchased Gift Vouchers, the Multiple Session Discount Packages, Membership Package and the Treatment Time Credits.

Cancellations received with less than 48 hours’ notice may be billed at 50% of the cost of the booked treatment and will be required to be paid before further treatment appointments agreed. I reserve the right that refunds may not be given on pre-paid appointment payments, pre-purchased Gift Vouchers, the Multiple Session Discount Packages, Membership Package and the Treatment Time Credits may have 50% of the time booked deducted.

Cancellations within 24 hours and “No shows” may result in the full 100% treatment cost being charged to you before a further massage treatment can be booked at a convenient time, although I will try to accommodate you if there is not subsequent appointments scheduled. I reserve the right that refunds may not be given on pre-paid appointment payments, pre-purchased Gift Vouchers, the Multiple Session Discount Packages, Membership Package and the Treatment Time Credits may have 50% of the time booked deducted.

If you cancel 2 appointments I will require non-refundable commitment of full payment in advance for your next appointment.

Late arrival. If you arrive late for your appointment your treatment may run to the original scheduled time and not be extended (unless you pay for the additional minutes as an add on where available). Although I will try to accommodate you if there is not subsequent appointments scheduled.

Discussions during the appointment. I suggest that most discussions be conducted during the massage as it will help the patient client relax and save time. If you need to talk prior to commencement of therapy then I suggest you book for longer as I have to hire the clinic therapy room.

Travel and accommodation expenses.

All travel and accommodation expenses must be paid fully in advance and can be paid direct to the travel and accommodation companies for tickets and reservations or to me to purchase the necessary tickets and reservations.

If patient clients cancel the booking the patient client cover the losses.

If I have to cancel or postpone I will repurchase or refund all the travel and accommodation expenses.

 

Privacy

Storage and Use of Patients Data

Under The General Data Protection Regulation 2018 (GDPR) and Data Protection Bill. 2018.

Details of consultations are considered Special category data under Article 6 and 9 Principle (a): Lawfulness, fairness and transparency. There must identify both a lawful basis under Article 6 and a separate condition for processing special category data under Article 9. These do not have to be linked. There are also specific additional conditions for processing some especially sensitive types of data. For more information, see the lawful basis section of this guide.

This lawful basis is I need to enter a name into my diary to make a booking and keep a note of payment for tax purposes and if you wish me to write a letter or email with consultation advice or  send your gift vouchers, I will need a postal address or email address.  I may need a telephone number if you wish me to call you.

 

Under The Right to be informed

  • Individuals have the right to be informed about the collection and use of their personal data. This is a key transparency requirement under the GDPR.
  • You must provide individuals with information including: your purposes for processing their personal data, your retention periods for that personal data, and who it will be shared with. We call this ‘privacy information’.
  • You must provide privacy information to individuals at the time you collect their personal data from them.

I will give each patient client a paper copy of these Terms and Conditions, which includes this Privacy Policy explaining that only minimal information is recorded and will be kept securely and only for the stated period of 7 years for tax data and 5 years for insurance purposes. When bookings are made and paid by the online systems they will also receive an electronic version of the Terms and Conditions.

Minimal information is the patient clients name, telephone number, email address, postal address (if consultation advice is required to be sent by post) Booking address is for a visiting consultation and the diary entry for the therapy booking date, time and fee, which must be retained for tax purposes require clients name and payments must be kept for 7 years. I will keep all your data strictly private and confidential. None of your data will ever be sold.  I will only share your data with your GP.

Health details collected from consultations must be specific and are strictly private and confidential. Clients can receive a photocopy of consultation notes taken during the consultation, which will only be kept until a typed letter or email report of the consultation is made as part of the consultation. All information noted will be supplied to the client without hesitation or conditions. There is no charge for this.

If the patient client wishes to receive additional copies of consultation notes and reports then they must write to me or sign an invoice statement requesting all data be sent to them as the Information Commissioner regard “Deleting data too soon is also unacceptable”.

Insurance Companies require records to be kept for five years after the last communication between practioner and the patient client. I will send you an annual invitation to have your health reviewed and updating your data, which will involve a repeat of the Initial Consultation. Your data will be kept for 5 years since last contact. When your data is destroyed, this will be done in a secure fashion.

 

Online Consultations, Support and Payments.

Email correspondence support between appointments.

Emails and letters to employers and medical practioners will be billed to assume to take 1 hour to type replies regardless of length.

Booking communications are free as are the initial discussion prior to the Initial Consultation,

Computer Security

My computer has complete anti-virus protection and maintain an SSL Certificate for website security to prevent hacking and all personal data collected during the booking process will be stored on a separate storage device to ensure data is separate from the device should any hacking attempt get through the protections. These files will be kept for 5 years for date of booking as required by the insurer. The personal medical data will be removed from the website after being printed and stored on the separate data storage device or within the 30th day.  

Website Privacy

This website does not contain any tracking cookies. I do not collect or sell any usage or personal data details you supply when you make a booking.

Online Payments

Will be made through a secure payment processing platform using Stripe,  you can then make payments using PayPal or by using your VISA, MasterCard, Maestro. I will not store any bank account, details or debit or credit card details.

Emails

Will be sent through a secure email service.

Safe guarding

When recording data with regards to confidentiality. If a client tell me that they have been abused even as an adult by some one who still have responsibility for that patient client or know of someone who is vulnerable and is being abused I must tell Police unless the patient client specifically requests me not too.

I do not practice any hands on therapies on children or pregnant patient clients. Even socially or publicly, as a man it is too much of a risk to even speak to non-related children.

Naturopathic Nutritional face-to-face and online consultations and support must be conducted with the presence and documented permission of treatments.

Apart from clinical contraindications there are personal safe guarding limitations to treating patient clients who are drunk or currently under the influence of drugs and not able to give reliable information and understand advice to make informed decisions.
